In a law firm the care lies in the files and meeting rooms: how the duct inspection is coordinated
A law firm combines private offices, meeting rooms and a file room, and not every area can be opened to anyone at any time.
Duct cleaning in a law firm is the camera inspection and cleaning of the inside of the air conditioning ducts serving the offices, meeting rooms and file room. It is coordinated with a partner or the administrator, with agreed access, and reserved areas are noted as not reviewed.
What sets law firms apart
Facts that help decide in law firms
- In Panama: At the Tocumen station (1977-2010 series), the months from January to March, the ones with the least rain, have a mean relative humidity between 64.9% and 69.6%. No month in the series falls below 64.9%. (ETESA, climate characterization of Panama and San Miguelito)
- Technical fact: The EPA states that mold can grow on virtually any organic substance where moisture and oxygen are present, including wood, paper, carpet and insulation, and that it is controlled by controlling moisture. It recommends keeping relative humidity below 60%, ideally between 30% and 50%. (EPA, Mold Remediation in Schools and Commercial Buildings)
- Technical fact: s2OSHA states that buildings with multiple tenants may need an evaluation to ensure that emissions from one tenant do not adversely affect another. (s2OSHA, Indoor Air Quality in Commercial and Institutional Buildings (3430-04))

| Trust companies | Rooms switched on only when there is a meeting, reviewed with the person in charge of the firm |
| Firms with their own file room | The duct serving the file room is looked at first and how it is accessed is noted |

How the work is organized in law firms
- Agree on access. The firm says who opens each area and which spaces are left out of the visit.
- Walk the run accompanied. The camera goes in through the access doors and the firm’s staff accompany it in the areas that ask for it.
- Close with a report. The report lists what was seen, what was not reviewed and the reasons in each case.
An example of what the report brings
What you are left with at the end
- A report with photos of the inside of the ducts
- A note on the duct serving the file room and its access
- The list of areas not reviewed at the firm’s request
- A suggestion of when to look again, based on how the rooms are used

Frequently asked questions
Who needs to be present during the visit?
The firm decides. An administrator or a partner usually accompanies in the reserved areas, and the rest is done with the access agreed in advance.
Are the documents in the offices seen?
The inspection is of the inside of the ducts and not of the offices. If an area cannot be opened, it is noted as not reviewed.
Can it be done outside office hours?
Yes, if the building allows it and the firm agrees the access with the administration.
What if the firm shares a system with other tenants?
The administration is asked which branches belong to the firm. Building sections are noted separately and worked on only with its authorization.
How often does it make sense to check the ducts in law firms?
There is no fixed frequency. It makes sense to look when the file room smells damp, when there are odor complaints in an office, or after a remodeling of the floor.
What does the report include for law firms?
It brings photographs of the inside of the ducts. It is organized by area of the firm and separates what was observed from what was left out at the request of the person in charge.
