School: how to use the holidays for the classroom ducts

A principal has three pauses a year and a campus with several wings. The decision is not whether the ducts get cleaned, but which wing goes into which pause.

Short answer

The review is scheduled in the long break from December to March, the only one with time to clean and dry, and is prepared in the short breaks of June and September, which are enough to inspect with the camera and change filters. The campus is divided by wings and each short break covers one, so that by December it is already known which sections need cleaning and which do not.

Year-end break and mid-year breaks

The Meduca 2026 calendar, which governs public and private schools, leaves a break from June 1 to 5 at the close of the first trimester, another from September 7 to 11 at the close of the second, and the end of classes on December 11 with a wrap-up week through the 18th. From then until the start of March the campus is left with administrative staff and little else. That is the structure the scheduling is built on.

Each pause allows a different amount of work. Five working days are enough to open access panels, run the camera through one wing and change filters, but not to clean a complete system and let it dry before students return. December to March does allow that, and it also falls in the dry season, when relative humidity in the city drops to its lowest values of the year according to the ETESA historical series.

Classrooms, dining hall and library: suggested order

The order is set by the load of each space. Primary classrooms have more students per square meter and more activity on the floor, so their low returns fill up first. The dining hall adds steam and kitchen residue if the extractor is not enough. The library has the lowest load but the content most sensitive to humidity, which is why it is looked at in the wrap-up week, when lending has stopped.

To coordinate a visit related to schools, Climatiza answers inquiries and confirms availability according to the schedule of the place.

  1. Primary wing in June. Camera in the returns and first section of each classroom, new filters, photos filed by classroom.
  2. Secondary wing and dining hall in September. Same routine, plus the dining hall unit and its condensate pan.
  3. Library and labs in the wrap-up week. Check with the campus nearly empty, without opening anything that takes long to close.
  4. Cleaning in January and February. Only the sections the two inspections flagged, with drying time before March.

What to check before classes start

The last week of February is the check, not the work. The units are switched on ahead of time to detect odors, the new filters carry the date written on them and the camera goes back to the same points where cleaning was done to leave the after photo next to the before. The EPA ventilation checklist for schools serves as the script: clean ducts, pans sloped to the drain and fans off while filters are changed.

How to inform parents and teachers

Teachers need to know which classrooms were opened and whether any access panel was left without its cover. Parents ask in March what was done over the holidays, and the most useful answer is short and comes with photos. A one page notice per wing, with the date, what was checked and what was cleaned, avoids the same question at every meeting. Health effects should not be promised: the EPA and the CDC note that duct cleaning has not been shown to prevent health problems, so the condition and the maintenance are reported, nothing more.

Record for the parents association

Many parents associations contribute funds for maintenance and ask to see what they were used for. The record that works is the same one the principal receives, organized by wing and by break, with the camera photos and the list of pending items for the following year. With that document the association can vote the budget for the next long break without reopening the question of whether it was needed.

  • Wing, break dates and the school staff member who opened the classrooms.
  • Classrooms inspected, with a photo of the return and the first section.
  • Sections cleaned in the long break, with before and after photos.
  • Filters changed and the date written on each frame.
  • Pending items for next year, ordered by the criteria that indicate when cleaning is due.

This way of scheduling follows the logic of a school with full classrooms and long holidays and, in schools that operate in state buildings, also the access rules of a public office. To decide how much attention each wing needs, the site’s estimation tools help, ordering priority by actual use and observed signs.

Scheduling a review starts with a message to Climatiza, and the service page summarizes the process.

Frequently asked questions

It can, but information is lost. Without the June and September camera passes, December cleaning is done blind or everything gets cleaned. With the prior inspections, the long break is spent only on the sections that need it.

The primary wing, for occupancy load and activity on the floor. If the dining hall shares a unit with any wing, that system moves up the list because it receives steam and kitchen residue on top of the classroom load.

For spot checks, yes: a classroom with an odor or a dripping grille is looked at on a Saturday without waiting for the break. They are no good for cleaning that needs drying, because there are classes on Monday.

A school staff member with keys to the classrooms and the machine room, appointed by the principal. That person signs the entry and exit sheet and remains as the reference in the record for the parents association.
