Security facilities
Security facility: how to inspect ducts under restricted access
At a security facility the camera that goes into the duct is the same one that worries the head of security. The work is organized so that worry is settled before any access panel is opened.
The inspection is organized in four layers: accreditation by name of each technician days in advance, an inventory of tools and camera equipment checked on the way in and out, work by sector with an escort who never leaves the team, and a prior agreement on what is recorded and who receives it. The actual duct time is short, the protocol time is what rules.
Prior accreditation of the technical staff
Accreditation is not a front desk formality, it is part of the scope of the work. The facility defines what details it needs on each person, how far in advance and how long the pass is valid. The vendor submits a closed list: whoever is not on it does not enter, even if they are the most experienced technician. That is why it pays to accredit one more person than needed, to cover an absence without restarting the process.
- Full name and ID document of each technician, with a copy if the facility asks for it.
- One additional person accredited as a backup.
- Exact dates and hours of each shift, with no open margin.
- Name of the vendor’s lead who signs on behalf of the team.
- Written confirmation from the facility with the name of the assigned escort.
Control of tools and camera equipment
Everything that goes in is declared and everything that comes out is counted. The tool inventory is submitted with the accreditation: inspection camera with its cable length, flashlights, screwdrivers, vacuum if there is one, cloths, bags. Security checks it on entry and exit, and any difference holds the exit until it is cleared up. A short inventory is checked quickly, so it is best to bring only what that sector needs.
The camera deserves its own mention. Some facilities require the recording equipment to stay in their hands when the work ends, others that it be wiped in their presence, others that the file be handed over on a medium they supply. What none of them accepts is a recording leaving without control. It is asked beforehand and the condition is accepted, or the work does not happen. The duct inspection camera records the inside of the duct, but its cable passes through offices, and that is what security wants to be clear about.
Behind this guide is Climatiza, an inspection and duct cleaning service, which always starts from the real condition of the system before proposing any work in security facilities.
Working by sector with an escort
The escort is not a courtesy companion: they open doors, decide the route and can stop the work. Since they never leave the team, the team works together, one sector at a time, and moves to the next only when the escort authorizes it. This sets the pace: fewer sections fit in a shift than in an ordinary office, and the plan is made with that reality.
| Moment | What the technical team does | What the escort does |
|---|---|---|
| Entry | Presents identification and the equipment inventory | Checks against the accredited list and logs the time |
| Moving between sectors | Moves as a group, with no detours and no photos along the way | Sets the route and opens the access points |
| Work at the access panel | Opens, inspects, photographs the inside of the duct, closes | Stays in sight and authorizes each new panel |
| Exit | Hands over or wipes the material as agreed | Counts the equipment and signs the exit |
What to record and what not to
The rule is that the camera looks into the duct and the photo is taken upward. No shots of the office, screens, documents, panels or people. If an access panel requires climbing a ladder in a sensitive room, the escort says what may be recorded and recording stops on leaving the panel. The images that are taken are labeled by sector and section with a code, not with the name of the office.
- Inside of the duct from the access panel: yes, always.
- Grille, filter and pan of the unit: yes, in close-up.
- Open ceiling with cables or other installations: only if the escort authorizes it.
- Offices, corridors, doors, signage and people: no.
- Audio during recording: no, unless the facility asks for it.
Confidential delivery of the report
The report is delivered to the person the facility designates, in the format and medium it decides, and the vendor keeps no copy unless expressly agreed. The content is the same that any public institution that organizes inspection by floors and permits asks for: sections reviewed, condition, what is recommended for cleaning and what is monitored. What changes is the wrapper: codes instead of area names, no floor plan, no context photos.
The EPA air quality guide for building managers recommends recording the maintenance of the air system, and industry references such as the NADCA ACR standard describe what to document in an assessment. Both apply here with one adjustment: the facility keeps the record and controls who reads it. The protocol of a diplomatic site that decides who enters and which areas are left out is the closest relative of this one, with the difference that there the mission rules and here the facility’s security rules. To read the report, the site’s duct technical guide explains what each finding means.
For a first conversation about the system, the contact details are on the Climatiza site and the method is described on its duct cleaning service page.

Frequently asked questions
How far in advance is accreditation needed?
Whatever the facility sets, and it is worth asking at the first contact. As a rule, the full list of people and equipment is sent as soon as the date is agreed, because a last minute change of technician usually restarts the process.
Can the vendor keep the camera images?
Only if the facility authorizes it in writing. Usually the material stays with the facility or is wiped in the escort’s presence. The vendor keeps, at most, a summary without images for its own visit log.
Can cleaning happen on the same visit as the inspection?
It depends on what was agreed in the accreditation. If the cleaning equipment was not declared, it does not go in. That is why it makes sense to accredit from the start both the inspection and a possible cleaning of short sections, with the equipment listed, even if in the end it is not used.
What if the escort stops the work?
It stops. The open panel is closed, the equipment is packed and the section is noted as unfinished, with the time. The facility decides whether to reschedule. Arguing with the escort is not part of the protocol.
