Banking District: branch ducts, vault and customer service hours

A bank branch is not worked like an office. This explains how ducts fit with security, the vault and customer service hours.

Short answer

Ducts in a Banking District branch are worked outside customer service hours, with staff registered with security days in advance, escorted at all times and with the vault zone and restricted rooms excluded unless expressly authorized. The branch defines which areas are included, the crew documents what was checked and what was left out, and the report goes separately to security and to maintenance.

Bank security and contractor access

According to the INEC table with Superintendency of Banks data, the Panamanian banking system had 482 branches and agencies at the end of 2024, and a good share of the private ones sits in the Banking District, the Área Bancaria, and around it. Each one has a security officer who decides who gets in, through which door and at what time, and that filter comes before any technical criterion.

The usual practice is to send in advance the staff list with ID numbers, the list of equipment coming in and a description of the work per area. On the day, each technician goes through visitor registration, leaves an ID and gets an escort. The pictures the duct camera takes are agreed beforehand: only the inside of the ducts, never screens, teller stations or branch floor plans.

Vault zone and restricted rooms

The vault, the vault anteroom, the back room of the ATMs and the communications room are usually off limits to an outside contractor. The ducts serving those areas are checked from the accessible side, up to the damper or the security bars that are often fitted in the grille, and the work stops there. It is not a technical limitation but a protocol, and it has to be written down as such.

Anyone who needs to see the real condition of the ducts in the case of Área Bancaria can request a camera inspection from the team at Climatiza, a technical duct cleaning service in Panama, which documents every section with images.

Working outside customer service hours

Banking District branches close to the public in mid afternoon and many open on Saturday mornings. The real window is usually the evening of a weekday, once administrative staff have left and the cleaning staff are still there. Security disarms the alarm and motion sensors by zone and re arms them on the way out, so the order of the areas is set by that procedure and not by what is convenient for the technician.

There is also an air criterion. During the work, return grilles in the zone being handled are covered, a principle the EPA Building Air Quality guide recommends for work in occupied buildings, so that disturbed dust does not travel to areas where employees remain. When it makes sense to open a system and how the sequence is organized is covered on the page about when cleaning is due and how it should be done.

What to check at the tellers and the platform

  • Supply grilles above the teller line: paper dust and fibers that gather on the louvers.
  • Return in the waiting area: it takes the most traffic and gets dirty first.
  • Independent unit of the ATM lobby: it runs 24 hours and usually has its own filter.
  • Run that crosses into management offices: that is where odor complaints show up.
  • Condensate pan of the air handler, given Panama humidity and the long operating hours.

These checks are shared with offices on a corporate floor, but in a branch the ATM lobby unit and the boundary with restricted zones are added. What makes this street level banking different from the towers of a general license bank is described on the page for the banking sector and its branches.

Report for security and maintenance

Two documents are handed over. The security one records who came in and out, at what time, which areas each person went through, which areas were excluded and whether there was any incident with alarms or access. The maintenance one records the condition of each run with the camera images, the grilles opened and closed, the filters found and what deserves watching. Keeping them apart prevents a document with interior pictures from circulating where it should not.

For a branch in the Área Bancaria, the maintenance report also serves the head office, which is often the one approving the budget for the branch network. It should include a simple plan with zones marked as checked, not checked and restricted. The context of the area, with its towers and its ground floor banking, is on the page for the Banking District and its buildings.

Frequently asked questions

Normally no. The vault and its anteroom are off limits to outside contractors, and the ducts serving them are checked up to the security bars or damper. If the bank decides to authorize it, its corporate security does so with an escort, and it is written in the report.

It is not advisable. There is noise, ceilings are opened and equipment moves near the teller line. The norm is to work after closing to the public, with cash removed, and leave the 24 hour ATM lobby for a short window agreed with security.

Full name and ID number of each technician, the company they belong to, the list of equipment coming in and the contact person. Some banks also ask for a letter from the company and that staff wear a uniform and visible identification during the whole visit.
