Short term rental: ducts between guests and odor reviews

A review rarely says the ducts were dirty. It says it smelled of damp. Between one sentence and the other there is a unit that sat switched off and a pan with water.

Short answer

What the guest smells on entering is checked: the bedroom supply grille, the hallway return and the filter, because the musty or damp smell comes out of there when the unit starts. Between stays, the cleaning crew follows a short list. Duct cleaning is scheduled in a gap without bookings, and only when the camera shows deposit or stains, not by calendar.

Most bad reviews about odor look alike. “It smelled of damp when we came in.” “The air conditioner smells odd when it turns on.” “Musty smell, we had to open everything.” None mentions ducts, filters or pans, but behind almost all of them sits a system that was switched off between the last guest and the new one. The guest knows nothing about that, only that the apartment did not smell clean, and that weighs more in the rating than a missing towel.

The host can do quite a lot with very little. What follows explains what happens inside the unit between stays, what the person cleaning the apartment can look at without being a technician and when it is worth opening the duct with a camera.

Why does the apartment smell odd just as the guest arrives?

Because between stays the unit is switched off, sometimes for a day and sometimes for a week. In Panama’s climate, with an average annual relative humidity of 75.7% according to ETESA, each shutdown leaves the pan and the filter damp until the next start, and the still air in the duct fills with odor. When switched on, the first puff brings that smell and the guest gets it in the face. The EPA recommends clean pans with free drainage precisely so that water does not stay.

Anyone who needs to see the real condition of the ducts in the case of short-term rentals can request a camera inspection from the team at Climatiza, a technical duct cleaning service in Panama, which documents every section with images.

High turnover makes it worse. A short term rental apartment can receive more different people in a month than a family home in a year, and each stay brings its load: cooking, long showers, suitcases with travel dust, sometimes a pet. All of it goes to the filter and the return, and nobody has the job of looking at them.

Why does it matter if the guest stays only three nights?

Because the review lasts much longer than the stay. An odor the guest mentions in one sentence shapes the decision of the next forty people who read the listing, and recovering the rating takes months of good bookings. For a host with one or two apartments, that difference weighs on the income of the whole year.

It also matters for the unit. A clogged filter and a pan without drainage do not only produce odor: they make the appliance work harder, and in an apartment rented all year, with the air on almost whenever people are in, wear accumulates. And it matters for the host’s order, who with a short list and a dated record can tell an isolated odor from a trend. None of this promises healthier air, because the EPA notes that duct cleaning has not been shown to prevent health problems. What improves is maintenance and comfort.

What can the person cleaning between guests look at?

The cleaning crew that comes in between guests is the host’s best tool, as long as it has a short and concrete list. It is not asked to open the unit or touch the duct. It is asked to look and report, the same way it reports a burnt out bulb. With that list, the host receives an early signal every time something changes.

  • Switch on the unit on arrival and smell the air from the bedroom grille in the first minute.
  • Run a damp cloth over the slats of each supply grille and note whether it comes away black.
  • Look at the return grille with a flashlight and remove visible lint.
  • Take out the filter, look at it against the light and report if no light passes.
  • Check that there is no water on the floor under the unit nor new stains on the ceiling.
  • Leave the unit in fan mode for a while before the next guest if the apartment was closed for days.

What the cleaning crew cannot see is the inside of the duct, and that is what the camera that runs through the duct from the grille is for. It is requested when reviews mention odor more than once, when the cleaning crew’s notice repeats or when grilles wake up with stains.

What does a camera visit between two bookings look like?

An illustrative case, not a real client: a host with a one bedroom apartment receives two consecutive reviews mentioning a musty smell. She blocks a day on the platform and the technician runs the camera through the supply and return from the grilles. It finds the saturated filter, the pan with standing water from a partially blocked drain and the ducts with little deposit. The drain is corrected, the filter replaced and nothing else is cleaned.

Duct cleaning is not scheduled by calendar but by evidence and by gap in bookings. The camera provides the evidence. The calendar provides the gap: two or three days without guests in a row, which in an apartment with high turnover have to be blocked on purpose. The criteria for deciding whether a section needs cleaning or just monitoring are the same as in any home, with the difference that here the cost of being wrong gets written in public.

Which mistakes repeat and how is it shown in the listing?

The most repeated mistake is waiting for the third review before looking at the unit. Next comes cleaning the ducts without first fixing the pan drain, which brings the odor back within weeks, and relying on an air freshener that covers the smell without solving the cause. Also repeated is leaving no record, so that every odor looks like the first.

In the listing what is shown is a dated fact, not a benefit. A line such as “air conditioning system checked with a camera in such a month” says more than any adjective and promises nothing that cannot be delivered. The listing does not speak of pure air or health. It speaks of up to date maintenance, and backs it with the report if a guest asks. Whoever manages several apartments in the same tower gains by knowing how the board decides on the building’s ducts, because part of the odor may come from a common section. And whoever manages several floors can copy the logic by which a hotel checks its rooms without closing the entire floor.

Why does inspecting and cleaning ducts matter?

These are the technical reasons, with their source, why the condition of the ducts is checked before deciding. Duct cleaning has not been shown to prevent health problems according to the EPA and the CDC, and it is proposed only when the observed condition justifies it.

AdvantageData with sourceWhat it means in practice
Know whether cleaning is needed before decidingThe EPA states in its duct cleaning guide that cleaning is justified for visible mold, pests or a notable buildup of dust and debris.A camera inspection documents the condition and allows a decision based on evidence, without unnecessary work.
Anticipate the tropical humidityAccording to ETESA (Tocumen station, 1977 to 2010), mean annual relative humidity in Panama is 75.7 % and rises to between 78.2 and 82.4 % in the rainy months. The condensate pan, the drain and the coil are checked first, because that is where moisture builds up.
Keep humidity under controlThe EPA recommends in its guide to mold and moisture keeping indoor relative humidity below 60 % and drain pans clean and draining freely.A humidity reading and a clean pan limit the conditions in which mold grows.
Keep construction dust out of the systemThe EPA and NIOSH Building Air Quality guide asks to block return grilles while construction work takes place in occupied buildings. Before accepting a new or remodeled system it is worth checking whether construction dust got in.
A local figure that changes the decisionLaw 284 of 2022 on horizontal property sets as a principle ensuring the maintenance, salubrity, safety and conservation of private and common property. The administrator carries out ordinary administration and conservation work with the budget approved by the Assembly. The law does not expressly mention ducts or air conditioning and its regulation is still pending. Frequently asked questions

At every guest change, with a list of five or six points that takes a few minutes. Looking and reporting is enough. What cannot be seen from the grille, such as the inside of the duct, is shown by the camera when signs repeat.

It helps dry the pan and move the air, but does not replace the check. Leaving the unit in fan mode for a while before the next guest arrives is a simple measure if the apartment was closed for several days.

It does not need to, and promises of healthy air are best avoided. One line with the date of the last camera check is enough. It is a verifiable fact backed by the report if a guest asks.

It usually indicates a drain pan with standing water and a damp filter after days with the unit off. The pan drain is checked and the filter is held up to the light. The EPA recommends clean pans with free drainage precisely so that water does not stay between one stay and the next.

It checks it along with the filter, because that is where fine grease builds up and smells like the previous guest’s food. If there is a film, the grille is cleaned between stays. The duct is only cleaned when the camera shows deposits or stains, in a gap without bookings, and not on a schedule.
