Air conditioning duct cleaning in corporate offices in Panama: when, how and what to require

In an office, the decision to clean ducts is made with an inspection and criteria, not with a calendar. This guide lays out when it is indicated, what is actually backed by evidence in offices and what to require from the provider.

Short answer

In a corporate office, duct cleaning is indicated when an inspection finds substantial visible mold, vermin, obstruction by dust or particles coming out of the registers, not on a schedule. What is backed by evidence in offices is the maintenance of coils and condensate pans: the EPA BASE study, in 97 office buildings, associated infrequent cleaning of those components with more eye symptoms (OR 1.7) and headache (OR 1.6).

Why offices are a particular case

An office combines continuous occupancy, a ceiling void, many diffusers and returns, and systems that are often shared with the rest of the building. That means a dirty duct is rarely the only suspect when there are complaints: the coil, the condensate pan, the filter and moisture weigh as much or more. A services company in Panama noted in 2025 that many organizations limit maintenance to filters and outdoor units and leave ducts, diffusers and returns aside; it is a qualitative remark from a press release, not a figure. The EPA criteria are written for homes and apply by analogy to commercial buildings.

What is backed by evidence in offices: coils and pans

OR 1.6headache associated with the same.E-03

These are observed associations, not proof that cleaning ducts prevents symptoms. What they show is that maintenance of the damp components matters, which is exactly what a maintenance plan covers. The European EUROVEN consensus, on 105 studies, also concluded that improper maintenance, design and functioning of air-conditioning systems contribute to more sick building syndrome symptoms. E-05

What to require from the provider

  • Report of the prior inspection, with photographs, that justifies the cleaning.
  • Written scope: which sections are cleaned and which have no access.
  • Containment of the dust released during the work.
  • Attention to the coil, the condensate pan and the drain.
  • No biocides or sealants over wet liner or active mold.
  • Airflow and pressure drop measured before and after, and photos of the result.
  • Schedules and access agreed with the building administration.

The reason behind the second and third points is measured: in a study in eight homes, particles and bioaerosols were higher during cleaning than before or after, and the EPA warns that cleaning without proper procedures can cause indoor air problems. E-08 E-02

Frequently asked questions

There is no universal frequency: the EPA recommends cleaning only when needed. The reference is to inspect periodically and decide on what is observed. It is covered in how often to clean ducts in an office building.

The evidence is insufficient: a review in Indoor Air (Zuraimi, 2010) found no solid proof of benefits for air quality, health or energy use, and the EPA states it has never been shown to prevent health problems. The details are in the scientific evidence.

It depends on the scope and on how dust is controlled. What matters is that the plan defines it in writing, with schedules and access agreed with the building administration, and that there is containment.

It is quoted after the inspection, because it depends on the extent of the network, the access points and the condition found. A figure without an inspection would be a guess.
